Welcome to our LEGENDcom instructional training video. There are two types of search available in LEGENDcom; basic search and advanced search. Today I am going to show you how to use the advanced search to quickly access information in LEGENDcom.
On screen: LEGENDcom homepage.
Advanced search can be accessed from the LEGENDcom homepage by clicking on the Advanced Search tab across the top of the page, or by clicking on the advanced search link at the bottom of the basic search box.
On screen: Advanced search page
There are four boxes available to enter your query term; All of these words, The exact phrase, Any of these words and None of these words. The box titled ‘All of these words’ will search for a webpage that contains all of your query terms. The box titled ‘exact phrase’ will search the system for any similar phrases to your query term. The ‘Any of these words’ box will search for pages that contain one or more of the words entered in your query term. The ‘None of these words’ box will bring up every webpage that does not contain your query terms. These boxes can be used together as well as independently and assist in restricting the number of search results displayed.
The exclude pop-ups box is automatically selected on the advanced search screen. To include pop-ups in the search results click the box to deselect the restriction. The portfolio dropdown will allow you to restrict the results to either migration or citizenship information. To search across both migration and citizenship select “All Results” in the portfolio dropdown.
The property restrictions at the bottom of the page restrict to different levels of pages in the LEGENDcom system. They allow restriction by; year, stack start date, stack end date, folder type, category type and divisions’ parts and schedules. If more than one property restrictor needs to be specified select the green plus sign next to the ‘And’ dropdown on the right-hand side. For example, if you wanted to search the Schedule 2 Migration Regulations you would use the first drop down to select folder type, the second to reflect equals and then you would type the word ‘Regulations’ into the blank box. Click the green plus sign to add an additional property restrictor. Use the first drop down to select Divisions, Parts and Schedules, the second to select contains and enter ‘Schedule 2’ into the blank box. This search will only locate search results in the Regulations folder in Schedule 2.
A search can also be conducted without any property restrictions, as the search results screen has refiners which allow you to limit the search results (demonstrate general non-restricted search).
On screen: Search results page
The search results screen looks the same for both a basic and an advanced search. The number of search results are displayed in the top left hand corner and the results are automatically sorted by relevance. On the left hand side of the screen there are several headings with a list of links beneath them. These are search refiners. Clicking on any of the refiners will restrict the search results to display the results found only in that folder. For example if we wanted to restrict the search results to the regulations we could select the link titled ‘regulations’. This changes the display on the right hand side to show results located in the regulations folder. If you click a search refiner accidently or you are unhappy with the restriction, use your back button on your internet browser to return to the previous screen. The refiner titled ‘portfolio’ will allow you to restrict your results to either migration or citizenship information. This refiner will be limited by the search you have just entered, if you restrict to the migration portfolio on the advanced search screen then you will not see the citizenship information folder. The ‘year’ refiner will restrict the search results to stacks within the selected year. The ‘Stack Start Date’ refiner will display the stacks available within the selected date range. The ‘folder type’ refiner will allow you to restrict to the Act, Regulations, PAMs and FLIs. This refiner is limited by the search you have just entered. For example if you have selected the Regulations folder on the advanced search screen the refiners will only display the Regulations folder. The refiner titled ‘category types’ allows you to restrict to specific folders within the Act, Regulations, PAMs and FLIs. If you have selected the Regulations folder on the advanced search screen you should be able to see the ‘Divisions, Parts and Schedules’ refiner which allows you to restrict to specific folders within the category types, such as Schedule 2 in the Migration Regulations 1994 or Part 2 of the Migration Act.
If there are multiple pages then a series of numbers will appear at the bottom of your screen. Select the next number or the right arrow to view the next page.
The location of each search result can be found under the blue title link. This will show you the exact location of the search result, including the stack date and the title of the page. To access the appropriate search result, click on the blue heading.
You will be taken to the top of the page that contains your query term. To jump to the location on the page where your query term is located, hold down the CTL button and the alphabetical letter F to access the internet browser find function. A find box will appear on your screen where you can enter your query term. The page will jump to the location where your query has been found and highlights the term for easy reference. To remove the highlight close the find box using the X next to the word find.
To return to your search results, select the back button on your internet browser. To start a new search, return to the homepage using the Home tab.
